Who does this Notice cover?
This document sets out the policy that Rodos Palace has put in place, to protect personal data of Rodos Palace’s employment candidates.
What personal data does Rodos Palace collect about you, and how do we use it?
Rodos Palace controls what personal data is collected and how it is used, i.e. Rodos Palace is the data controller.
The personal data we collect from you helps us manage the recruitment and hiring process with you, conduct Rodos Palace’s businesses, and comply with Rodos Palace’s legal obligations.
We may collect and use the following categories of personal data about you (some or all may apply to you):
- Names
- Resume/ CV
- Application letters
- Employment history
- Education
- Qualifications and skills
- References
- Candidate assessment (incl, interview notes)
- Personal and work contact information
- Passport information (when we need proof of work eligibility for certain positions)
- Travel related records in some cases when we hold face to face interviews
How long does Rodos Palace retain your personal data?
Rodos Palace will hold your personal data for 12 months after the end of the recruitment process, if you have not been hired, and for the duration of your employment. The periods for which your data is held after the end of employment are set out in the Data Retention Policy to ensure we comply with any contractual, legal, audit and other regulatory requirements, or any orders from competent courts or authorities, to provide employment reference.
Where does Rodos Palace obtain your personal data?
The personal data we process is obtained from you, but we also obtain personal data about you in the course of the application process (for example, during interviews). Other data types may be obtained from third parties, including, for example, from recruitment agencies.
With whom does Rodos Palace share your personal data?
Your personal data may be shared within Rodos Palace where lawful to do so and for legitimate purposes.
Your personal data may be shared with recruitment consultants.
Rodos Palace takes appropriate steps to ensure that people who receive your data are bound to maintained confidentiality of the data.
Does Rodos Palace transfer your personal data to countries outside the country in which you apply?
We may transfer your personal data to countries outside the country where you work, for example, when we or one of our service providers uses employees in other countries.
How is your personal data secured?
We maintain physical, electronic and operational safeguards to protect the confidentiality of your personal data, including security measures to protect against unlawful or unauthorised processing of personal data, and against the accidental loss of, or damage to, your personal data.
If your application for employment is successful and you commence employment with Rodos Palace your personal data may be retained consistent with Rodos Palace’s Privacy Notice for Employees.
If your applicant for employment is unsuccessful, we will generally keep your personal data beyond the end of the application process for the purposes of
(i) contacting you for future job vacancies,
(ii) to meet recordkeeping requirements, and
(iii) for potential use in legal proceedings.
